Hire charges
All prices include GST unless stated otherwise.
- Half Day or Evening Hire — $50 per day
- All Day or Weekend Hire — $115 per day
- End of Life Celebrations / General Family Celebrations — $345 (incl GST)
- Cleaning (kitchen not used) — $40.25, or you may clean the space yourself for spiritual event hires
- Cleaning (kitchen used) — $103.50, which includes the dishes and cleaning of the centre. If using the kitchen you may instead provide your own cups, plates and cutlery
Security charge — any false alarm activation costs will be charged to the hirer.
Payment
For online bookings, payment is made by card through the secure payment link sent when your booking is accepted. Where payment by invoice has been arranged instead, the agreed hire fee must be paid within 7 days of the venue hire, to the Papanui Spiritual Centre's bank account (legal name: Christian Spiritualist Church Christchurch Incorporated): 03-0859-0312613-01.
Half-day and evening hires with 80 or more people attending are charged the larger-event rate ($115 incl GST), as bigger events carry real additional costs for the centre. If a booking made at the standard rate ends up welcoming 80 or more people on the day, the difference is payable to the centre's bank account afterwards.
Cancellations
We understand plans change. As advertising and administration costs are incurred once a booking is made — and a booked date turns other hirers away — the following applies when a booking is cancelled:
- Cancellation within 2 weeks of the booking date — a cancellation fee of half the hire fee applies.
- Cancellation more than 2 weeks before the booking date — a $25 charge applies where the event has been promoted, to cover advertising and administration.
Any refund due is arranged directly with the centre's committee.
Capacity
The maximum capacity of the venue is 96 people. (There is seating for 110 across the chapel, catering room and library.) The stated capacity must not be exceeded at any time, as required to meet national Building Warrant of Fitness standards — it is the hirer's responsibility to ensure it is complied with.
Facility availability
Subject to the Papanui Spiritual Centre's own use (each Sunday evening, and any funerals booked), the centre is available for hire Monday to Sunday between 8am and 10pm on any one day. The venue must be cleaned, vacated and secured by the end of the agreed hire period.
Pre-hire inspection
You are welcome to view the centre and become familiar with the facilities before your hire — by appointment with the centre's President or a representative.
Security & access
The centre has a camera and security system. You will be given a temporary alarm code and a door entry code for your hire — these are sent with your booking confirmation and are for your use only. When closing up, please ensure all exterior doors and windows are locked.
Health & safety
As part of this agreement, the hirer accepts legal responsibility for meeting evacuation plans and health and safety requirements, and acts as the Facility Warden for the duration of the hire. Please complete a building check before your event begins and keep a record of it — fire doors closed, exits clear, and the garden gates unlocked in the event of an emergency (keys are kept on top of the microwave).
It is the hirer's responsibility to inspect the facility before the booking begins to ensure it is safe and fit for purpose. Any hazards must be reported immediately to the relevant emergency response and to the President, Nicki Tasker, on 021 022 60343. The hirer must ensure the general public does not have access to the facility, including the toilets, during the hire period.
Conditions of use
All hirers must be a legal entity — a registered group, or an individual 18 years or older, with the capacity to enter into agreements, assume obligations, incur and pay debts, sue and be sued in their own right, and be accountable for illegal activities. The centre reserves the right to ask for proof of legal identity. The person who makes the booking (or the legal entity's notified representative) must be present for the duration of the event.
- All statutory rules, regulations and bylaws in force must be observed and complied with.
- No illegal activities may take place in or outside the facility during the hire period.
- Noise must be kept to an acceptable level at all times, with consideration for our neighbours.
- No decorations or notices are to be pinned or Blu-Tacked to the walls of the building.
- This is a non-smoking and non-vaping venue inside the building.
- Naked-flame candles are not permitted.
- Food and beverages (except water) may be consumed only in the catering room — not in the chapel, which is a sacred space. Alcohol is not permitted.
- Pets are not permitted in the building, with the exception of guide dogs for the visually impaired, registered companion animals, and official animals of the NZ Police.
- The centre reserves the right to review and increase venue hire charges as required (e.g. annually).
Respect & conduct
The centre is run with warmth by volunteers, and we ask that everyone who hires it treats the committee, our volunteers and other users of the centre with courtesy and respect. Where a hirer behaves in a rude, abusive, disrespectful or unreasonably demanding way, the centre may issue a warning — and if the behaviour continues, the centre reserves the right to decline that hirer's future bookings.
Operating instructions
- The steriliser in the kitchen is not to be used unless you are experienced and have the approval of committee members.
- The music system settings are not to be touched — use the PC for volume only, or the first button on the left for the microphone — unless approved by the President or committee.
- Lighting — the chapel switches are in the hallway between the chapel, viewing room and catering room.
- Heating — there is a heat pump in the chapel (the remote is on the ledge of the servery) and another in the catering room. Over the winter period, please leave the heat pumps on low (around 18 degrees) when you leave; outside winter, please turn them off.
- Free Wi-Fi is available on request.
Equipment available
The chapel: 77 chairs, rostrum, side table, two TVs, and an HDMI connection at the back of the chapel. The catering room: two leather couches, a coffee table, 9 chairs, and two trestle tables. The kitchen: hot water boiler for tea and coffee, stove, microwave, fridge, electric jug, two water filter jugs, steriliser, first aid kit, and fire extinguisher.
You are welcome to use the centre's cutlery and crockery, but the cleaning charge then applies (the steriliser must be used), and you must pay for any breakages.
Cleaning supplies
Cleaning cloths, dishwashing liquid, toilet cleaner, floor cleaner, handwash, general cleaners and a bucket are provided in the bottom of the kitchen cupboard, and there are brooms in the kitchen. The mop and vacuum cleaner are in the accessible-toilet area, and a dustpan and brush is under the hand basin in the kitchen. Additional toilet paper and hand towels are in the vanity cupboards in the toilets.
Catering, access & parking
- No organised catering is offered.
- The centre has wheelchair access and an accessible toilet.
- There are 13 dedicated car parks at the back of the building, with plenty of parking on Wilmot Street and Papanui Road. The hirer is solely responsible for the security of vehicles using the area.
On exiting the building
Please ensure at the end of your venue hire:
- The toilets are left clean and tidy, all rubbish is removed, and the vanities have been cleaned
- The kitchen and catering room are clean and tidy
- The floors have been vacuumed in the chapel and the catering room
- All chairs are put back in their original positions
- The sliding door in the chapel and the door in the catering room are locked
- The lights are turned off, and the heat pumps set to low (around 18 degrees) over winter, or turned off outside winter
Agreement
All persons in this agreement are personally bound to abide by all terms and conditions contained in it, and to fulfil all of the hirer's obligations under it. By ticking "I have read and agree" and typing your full name, you are signing this agreement electronically — this has the same effect as signing on paper (Contract and Commercial Law Act 2017, Part 4). You will be emailed a copy for your records.
